Managing your Account Through Archiving

About Archiving

Use Archive to save mail or phone messages, appointments, reminder notes, or tasks to a designated database on a local or network drive. Archiving items saves space on the mail server and keeps your Mailbox uncluttered.

You can view archived items whenever you need to. You can also unarchive any archived item. When you archive an item you have sent, you will not be able to track the status of that item.

Archive Directory

By default, the Archive Directory is set to: C:\Novell\GroupWise\Archive\

You can change the location by going to Tools --> Options --> Environment

If you want to store your archive on a network drive, i.e. your I or J drive, remember it will not be accessible if you are not on campus and logged into your Netware Account.

Archiving Automatically

To set your account to automatically archive, change the settings by going to Tools • Options --> Environment

About Mailbox Storage Size Information

Use Mailbox Storage Size Information to view your mailbox size and to manage items to regain space. If your mailbox size exceeds the quota, you cannot send new items until you archive or delete some of your existing items.

If your mailbox size exceeds the limit, the Mailbox Storage Size Information dialog box automatically displays. You can also display this dialog box by clicking Tools -->Mailbox Size or by clicking the Mailbox Size message on the status bar at the bottom of the GroupWise Main Window.

Click Trash, Sent Items, Received Items, or Posted/Draft Items. When you select a view, GroupWise searches for items in the selected folder and displays them in descending order, from the largest file size to the smallest. You can click Stop Query at any time to stop the query. Select an item or multiple items --> click Archive

Using Rules to Archive

You may also use Rules to archive. For example, your rule could archive all items regarding a certain subject. Archive is not available to use as an action when the triggering event is New Item or Filed Item.

To archive items in your Mailbox

Select the items in your Mailbox you want to archive. Click Actions --> Archive. Or….Right-click on a message, choose Archive

To see archived items

In the Main Window, click File --> Open Archive.

To close the Archive

Click File --> Open Archive to close the archive and return to the Main Window and close the Archive.

To unarchive items

Click File --> Open Archive. Click the item you want to unarchive --> Actions --> Archive. Or…Right-click on the item, click Archive (which unarchives the message) Unarchived messages are returned to the folder from which they were archived. If the folder has been deleted, GroupWise® creates a new folder.

Click the Window drop-down menu, choose New Window (one window shows the online mode, the other window shows the archive)

Creating a Sent Items folder

There is not a Sent Items folder in the archive unless you create it. To create a Sent Items folder, File --> Open Archive to open the Archive. Click on your name in the left column --> New --> Folder

Your Sent Items folder is a Predefined “Find Results” folder.

IMPORTANT

Remember that deleting an item from a “Find Results” folder will also delete the item from any folder you have moved the item to.

Your file structure remains intact as you archive and unarchive.

WARNING

Be careful about using automatic archiving if you use multiple computers. You will always want to archive to the same computer or you may end up with multiple archives.
