Event Services

Bemidji State University Dining Services is available for all of your catering needs, from light refreshments of fruit, muffins and coffee to a full service sit-down dinner.  Menu Options.

Campus Security and Safety is responsible for making sure all facilities are unlocked and locked for scheduled events. When you make your reservations through Event Services, we will ensure your access to the facilities.  Security and Safety can also assist with parking and security matters.

Building Services provides support for special set-up and equipment needs. 

The Academic Technology Center can assist you with video projection, audio equipment, and other technology needs.

We also assist with reservations in academic facilities across campus such as the Hagg Sauer Auditorium, the Carl O. Thompson Recital Hall, the Jon Glas Fieldhouse, classrooms and various outdoor spaces - the Bridgeman Pergola, the Fire Pit and the Lakeside Lawn.

Event Planning Guide

Consider the nature of your event and the accommodations you need:

• What is your expected audience?
• Is it a club meeting or a special event?
• Are you showing a video or film?
• What is the nature of the event, and is it compatible with the university?

Event Planning Checklist:

• Decide on a planning timeline
• Budget
• Guest list with approximate attendance total
• Select/reserve facility that meets your needs
• Confirm speakers/MCs
• Get all administration approval
• Plan promotion and publicity
• Print invitations and distribute
• Decide on a menu and contact the caterer (if you will be providing food service)
• Plan decorations
• Arrange for security if needed
• Room Set-Up
• Number/size of room(s) needed
• Arrangement of tables
• Display table
• Podium
• Signs outside the room
• Decide what will be needed in the facility (white board, map, etc...)
• Facilities w/ Set-up and Room Capacity Info          
• Where will registration for the event be taking place?
