On-line Room Scheduling

Student Organizations

Meeting space is available to recognized student organizations at no charge; rooms are available to reserve by the semester and are available on a first come, first served basis.

To reserve meeting rooms in Hobson Memorial Union, call the Scheduling Office at 755-3763, stop by the Information Desk or send an e-mail to scheduling@bemidjistate.edu.  An on-line account will be set up so you can reserve your rooms electronically, and at the same time indicate any special needs you have, such as audiovisual or sound equipment.

Information needed to reserve facilities:

• Name of your event.
• Date and time of the event (include both start and finish time).
• Access and post-access times (for set-up and clean-up).
• Estimated audience attendance.
• Who is the contact person for your group?
• What is the address, phone number, and e-mail address of your contact person?
• Alternative locations and/or dates.

If your meeting is scheduled during the business day, a key for the room may be checked out at the Information Desk.  For meetings after 5:00 p.m., the room will be unlocked by the building manager.

The HMU staff may periodically need to accommodate a special event in the meeting room you have reserved and whenever possible will assign a suitable substitute room.

We also assist with reservations in academic facilities across campus such as the Hagg Sauer Auditorium, the Carl O. Thompson Recital Hall, the Jon Glas Fieldhouse, classrooms and various outdoor spaces - the Bridgeman Pergola, the Fire Pit and the Lakeside Lawn.
