Assistant Conference Coordinator (ACC) - Summer Position


The Assistant Conference Coordinator reports directly to the RHD responsible for Conferences (Contracts). Basic duties include: 1) coordinating conference contracts with the central office, 2) compiling information for each conference for Hall Directors to use, 3) working with conference host staff to facilitate check in and check out procedures 4) serving as an on-call evening duty person approximately four weekends throughout the summer, 5) taking on additional responsibilities when the Hall Director and/or other Assistant Coordinators are absent, 6) responsible for weekend bed making and extra duties in the assigned hall. The ACC must work an average of 40 hours per week and maintain a written log of hours worked


Oversee Conference Contract Administration:

  • Collect information that pertains to each conference, by using the contact information on said contract (i.e. collect numbers of campers, gender breakdown, camp/conference schedule and precise check in and out information.)
  • Make room assignments for conferences that request
  • Create check in lists for EVERY camp and conference, except limited guest housing conferences in the summer conference hall (i.e. Concordia Holdovers).
  • Create welcome and directional signs for every conference/camp.
  • Create informational bulletin boards in each hall hosting camps/conferences that address Camp policies, Campus policies, Bemidji Area information, and emergency contact information.
  • Create signs for room doors when appropriate for camp/conference (door decs)
  • Work with Assistant Director and staff to sure living area is ready for camp (all necessary rooms made up etc.)
  • Prepare for each camp check in to include, key pulling, meal cards and lanyards if applicable.
  • Work with Assistant Guest housing Coordinator to have camp/conferences not located in assigned building appropriate check in and check out coverage.
  • Determine needs to staff summer conference or camp desk.
  • Work 30 hours per week. Some office hours will be set, but the ACC should be flexible in setting their work schedule in order to accommodate daily conference needs.
  • Perform other duties as assigned.

Participate in meetings and training opportunities.

  • Meet with the Contract administrator and RHD supervisor on a regular/daily basis.
  • Participate in weekly Conference Host staff meetings.
  • Participate in weekly Residential Life central Conference meetings.


Functional and administrative supervision is received primarily from the RHD or designated summer conferences RHD. Work with all other Central staff and Assistants.


Hold secondary supervision of Conference Hosts in the specific areas of their work performance at the conference/camp check in and outs.


The ACC must have a minimum of one year experience in residence hall work, counseling, or reception desk work. Two years of experience and prior Assistant Residence Hall Director experience is preferred. Must be enrolled at Bemidji State University as a full-time student during the following fall semester. A minimum GPA of 2.00 (semester and cumulative) must be achieved upon hiring and for all subsequent periods of employment. Must be in good standing with the university conduct system.


Remuneration for the ACC will be a furnished apartment and a $2500 summer stipend. Although the ACC may be asked to assist with Conference Host selection before the end of the academic year, the employment period begins on the Saturday after the halls close for spring semester and continues through fall staff training.
