Assistant Guest Housing Coordinator (AGHC) - Summer Position

BASIC FUNCTIONS AND RESPONSIBILITIES:

The Assistant Conferences Coordinator reports directly to their assigned Building's RHD. Basic duties include: 1) coordinating Conference Center operations in Pine Hall, 2) monitoring Conference Host payroll and guest housing cash flow operations, 3) assisting the RHD in the organizing conference and guest housing services 4) serving as an on-call evening duty person approximately four weekends throughout the summer, 5) taking on additional responsibilities when the supervisory Hall Director and/or other Assistant Coordinators are on vacation. The ACC must work an average of 40 hours per week and maintain a written log of hours worked

CHARACTERISTIC DUTIES AND RESPONSIBILITIES:

Oversee Conference Center desk operations:

  • Train Conference Hosts in all aspects of desk operations with an emphasis on taking room reservations, operating the cash register, and providing good customer service.
  • Prepare monthly desk and duty schedules for Conference Hosts.
  • Monitor summer allocations and payroll regulations.
  • Submit payroll information and time sheets in a timely manner.
  • Make weekly cash deposits of guest housing funds at the cashiers office.
  • Conduct bi-weekly audit of cash register and safe funds.
  • Bring conference registrant cards/sheets to Residential Life on a weekly basis for prompt billing.
  • Perform weekly key cabinet inventory and follow up on any discrepancies with Conference Hosts and the RHD.
  • Ensure supply of stamps and change is adequate to meet customer needs.
  • Make suggestions as how to improve Conference Center services.

Perform the following administrative tasks:

  • Assist in coordinating key pulling and group check-ins for conference groups.
  • Help RHD with conference-related tasks such as sign-making and preparing check-in sheets/cards.
  • Assist RHD and Assistant Director of Residential Life in coordinating bed-making assignments for the building.
  • Participate in the selection, placement, training, and on-going supervision and evaluation of Summer RAs and Conference Hosts.
  • Work 40 hours per week. Some office hours will be set, but the AGHC should be flexible in setting their work schedule in order to accommodate daily conference needs.
  • Assume responsibilities of the RHD during periods of extended absence.
  • Perform other duties as assigned.

Participate in meetings and training opportunities.

  • Meet with the RHD on a daily basis.
  • Participate in weekly Conference Host staff meetings.
  • Participate in weekly Residential Life central meetings.

SUPERVISION RECEIVED:

Functional and administrative supervision is received primarily from their assigned RHD.

SUPERVISION EXERCISED:

Hold primary supervision of Conference Hosts in the specific areas of their work performance at the Conference Center desk and regarding their administrative performance on their individual floors.

MINIMUM QUALIFICATIONS:

Preference for this position will be given to the AGHC holding this position during the academic year either prior to or following this summer position. The AGHC must have a minimum of one year experience in residence hall work, counseling, or reception desk work. Two years of experience and prior Assistant Residence Hall Director experience is preferred. Must be enrolled at Bemidji State University as a full-time student during the following fall semester. A minimum GPA of 2.00 (semester and cumulative) must be achieved upon hiring and for all subsequent periods of employment. Must be in good standing with the university conduct system.

REMUNERATION:

Remuneration for the AGHC will be a furnished apartment or suite and a $2500.00 summer stipend. Although the AGHC may be asked to assist with staff selection before the end of the academic year, the employment period begins on the Saturday following spring semester hall closing and continues through fall staff training.
