Assistant Guest Housing Coordinator

BASIC FUNCTION AND RESPONSIBILITY:

The responsibilities of the Assistant Guest Housing Coordinator (AGHC) are diverse and require a significant personal commitment to help foster a positive Guest Housing environment. The Conference Host also has hall-wide responsibilities and works as a team member with other Residential Life staff members in the conference center Hall.

ADMINISTRATIVE DUTIES AND RESPONSIBILITIES:

  • Create "welcome to guest housing" bulletin boards in conference center elevator lobby areas
  • Post important phone numbers, campus and Bemidji maps, and other helpful information for guests
  • During ARHD training week, take the lead in training the conference center hall ARHD regarding guest housing operations
  • During RA/CA/PAA training week, take the lead in training the conference center RAs and CA regarding guest housing operations as they pertain to hall desk responsibilities
  • Take the lead in training new Desk Receptionists in conference center hall regarding guest housing operations
  • Create one educational bulletin board in the conference center lobby during the academic year
  • Check reservations book on a daily basis to see who's coming and going
  • Welcome new guests, let them know your room number, offer your assistance
  • Be available to guests and residents on a regular basis, including evenings and weekends (a maximum of ten nights away from campus will be approved each semester)
  • Make beds after walk-in guests have checked out and rooms have been cleaned by GMW staff or assistants (when conference groups check out, beds will be made by GMW staff or assistants)
  • Prepare weekly deposit of guest housing funds. Submit deposit and summary report to the conference center hall ARHD or RHD who will bring deposits to Cashiers on a weekly basis
  • Conduct weekly key cabinet checks for conference center floors
  • Assist RAs, as needed, with room check-in and check-out process
  • Become familiar with campus and community resources and share this knowledge with guests/residents
  • Assist in the maintenance and improvement of physical facilities by promptly reporting concerns, by promoting positive relationships with maintenance and custodial staffs, and by making suggestions for facility improvements
  • Work five hours per week at the conference center hall desk
  • Perform other tasks as assigned by the Residence Hall Director

STAFF DUTIES AND RESPONSIBILITIES

  • Function as a cooperative staff team member, promote consistency, help solve mutual problems, provide personal and paraprofessional support, and maintain prompt and open communication with all members of the Residential Life staff
  • Attend staff meetings, in-services, and training sessions (including the majority of fall training sessions)
  • Attend bi-weekly one-on-one meetings with the RHD
  • Participate in Department of Residential Life leadership and committee opportunities.
  • Work cooperatively with hall government by publicizing and participating in hall council activities
  • Participate in the staff selection and staff evaluation processes
  • Consistently enforce the University Code of Conduct and University policies and regulations

PERSONAL RESPONSIBILITIES

  • Demonstrate good study habits, concern for the welfare of others, responsibility to one's community, positive social interactions, regard for a healthy lifestyle, and an open mind to diverse lifestyles, attitudes, and behaviors
  • Serve as a role model on and off campus in observing Federal, State, and local laws, as well as University and Residential Life guidelines and policies
  • Practice personal and professional growth by defining goals, taking action to meet them, and evaluating progress

SUPERVISION RECEIVED

Functional and administrative supervision is received from the Residence Hall Director and the conference center hall Assistant Residence Hall Director as designated by the RHD

MINIMUM QUALIFICATIONS

Preference for this position will be given to the AGHC holding this position during the summer either prior to or following this academic year position. The AGHC must have a minimum of one year experience in residence hall work, counseling, or reception desk work. Two years of experience and prior Assistant Residence Hall Director experience is preferred. Must be enrolled at Bemidji State University and maintain full-time student status (12 undergraduate credits or 9 graduate credits) at all times during employment, and be sensitive to the demands of the job when determining class schedules. An AGHC wanting to take more than 18 credits per semester should consult with the Birch/Linden Residence Hall Director before registering. A minimum GPA of 2.00 (semester and cumulative) must be achieved upon hiring and for all subsequent periods of employment. Must be in good standing with the University conduct system (no conduct probation) and have no major conduct code violations.

REMUNERATION

Remuneration for the Conference Host will be a double-as-a-single room, meals during Fall training, a meal plan during times when meal service is offered, and a $1000 academic year cash stipend.
