Host Your Summer Event at
Bemidji State University

Conference services are available during the months of June & July.  If you are planning a summer event (Camp, Conference, or Workshop) and need to use campus housing, food service, meeting rooms, activity space, or rent equipment, you can make a reservation request now. Reservations will be accepted on a first-come, first-served basis.  Due to maintenance and demand, building preferences may not be guaranteed.

2022 Conference Housing:

10 guest minimum requirement for overnight accommodations. Linens: pillow, sheets, blankets, towels; water glass; and soap included in cost.

Oak, Tamarack, Pine Hall Rooms:
  • Double Rooms: $18/night/person
  • Single Rooms: $22/night/person
  • Air conditioning is not available.
  • Each hall has common lounges with large screen TVs, game rooms, and areas for outdoor use.
Linden Hall Suites:
  • Nightly Rate: $33/night/person
  • Two and three person suites with shared bath, private bedrooms, air conditioning and room temperature control within 3-5 degrees, movable furniture, spectacular lake views, and outdoor gathering spaces.
Birch Hall:
  • Double Rooms: $20/night/person
  • Single Rooms: $24/night/person
  • All rooms are carpeted, recent modern updates, lounge areas located between every floor, lobby equipped with pool table, ping pong, and foosball. Large screen televisions in each lounging area.
Campus Dining:
2022 Meal rates for Dining Hall:
  • Breakfast                           $6.12/per person
  • Lunch                                $8.55/per person
  • Dinner                               $9.73/per person

Catering option available for specific menus or locations on campus.

Insurance Requirement:

CLIENT’S INSURANCE. Prior to Client’s occupancy of the Space, Client shall provide University with a certificate of general liability and property damage insurance naming University as an additional insured and reflecting coverage to $2,000,000, for death by wrongful act or omission, and to $2,000,000 for any claimant in any other case, but not to exceed $2,000,000 for any number of claims arising out of a single occurrence.  Client shall maintain this coverage at its sole expense during its use of the Facilities. Client shall maintain such insurance during the term of this Agreement, and may be required to provide additional evidence as requested by University. If this Agreement is signed by Client less than thirty (30) days prior to the Event, Client shall submit such evidence of insurance upon the signing of this Agreement. No occupancy or use may take place until satisfactory evidence of insurance coverage is provided to University.  

The certificate must state, “Bemidji State University is named as additional insured on this policy” in addition to listing BSU as a certificate holder.

Important Timeline:
Accepting Reservations Beginning February 1
BSU Contracts Out to Event Organizers Minimum 4-6 weeks prior to arrival date
Event Organizers sign contracts and mail back to BSU.

  • BSU must have an original signature.
  • Emails and faxes are unacceptable.
Minimum 3-weeks prior to arrival date
Event Organizers provide BSU with proof of insurance.

  • $2 million coverage
  • BSU Named as Additional Insured
Minimum 3-weeks prior to arrival date
Roster, Room Assignments, and Minimum
Guaranteed Headcount Due.
Minimum 2-weeks prior to arrival date
If approval is granted to submit names after the two-week deadline, organizers will be charged an additional $5 per person added pending available beds and staffing. Minimum 1-week prior to arrival date
Invoices Sent by 30th day of each month following event
Final Payment Due within 30 days of invoice date
Late Fees payments not received within 30 days will accrue 3% late fee, after 60-days 3% added, after 90-days invoices sent to collections.
