Moving to the MinnState.edu Office 365 cloud can be confusing. Please explore some commonly asked questions and answers below!
This FAQ is applicable to both Students and Employees. Remember, if you get stuck, contact the help desk. We can help!
Am I going to lose my email or OneDrive files?
No. All content in your personal Outlook and OneDrive accounts will migrate and be waiting for you in the new MinnState.edu cloud. This includes your emails, calendar events, files and folders. However, you will lose any personal contact groups (contact lists) you may have created in Outlook. Consider exporting your contact groups so you can import them into the new cloud later. More info.
Content located in a Group or Team will not automatically migrate. You will be responsible for exporting your content and re-adding it to the new Team on the MinnState.edu cloud. If you have a Group or Team to migrate, please contact the help desk for assistance. Manual instructions here.
When is the migration happening?
The migration will start Friday, March 16th, through early Monday, March 19th. During this time, access to Office 365 will be unavailable to students and employees. Email sent to your Office 365 account will be bounced back to the sender. On Monday morning, you will need to log in to Office 365 with your MinnState.edu credentials.
What will I see when I launch Outlook on Monday (3/19) morning?
Windows: When you start Outlook on the morning of March 19th, you will be presented with a screen asking you to create a new Profile in Outlook. Your information will be filled in, and you’ll just be required to click a “next button” a few times. Your messages and calendar events will begin to load as your profile is copied from the new MinnState.edu cloud. This process could take around an hour depending on the amount of information that is migrating.
Mac: Mac users will need to manually add a new profile to Outlook. More info.
Notes for both platforms:
- Signature files do not migrate. They will need to be recreated and added to Outlook. Tip: copy from a sent message.
- Auto-complete of email address will reset. Don’t worry, as you use the new system, the suggestions will return.
- Outlook calendar sharing permissions (delegations) will need to be re-added. More info.
- Forwarding rules for BSU/NTC mail will break after migration. You’ll need to set it up again in the new system. More info.
I heard there is a OneDrive freeze?
The OneDrive freeze is a period of time when users should not make any changes while the OneDrive files and folders are being copied over to the new cloud. The OneDrive freeze begins on Friday, March 9th, and goes through early morning, March 19th. Users should not attempt to upload any new files to their OneDrive between these dates.
Is my email address changing?
The email you have will continue to work. Depending on your role, you may be getting another email address.
Employees: When we move to MinnState.edu Office365, we will be getting a new email address format: firstname.lastname@example.org or email@example.com. Our current email address will still work, so you don’t need to change it everywhere — you’re just getting another one. All email addresses moving forward will be in the new format.
BSU students: Your email address will remain firstname.lastname@example.org.
NTC students: Your new email address format wi
ll drop the underscore and replace it with a “.” to look like: email@example.com. Your old email address will still continue to work, but the underscore email address will no longer be created for NTC users.
Note: If you share similar name with someone, your email address may contain a number to set you apart.
Will my phone or mobile device stop getting email?
Yes. Mobile device apps will need to be reconfigured with your new MinnState.edu credentials. Outlook and OneDrive apps will stop working when your old account is turned off. More info.
Will the migration affect D2L access or use?
No, but there are a few things to be aware of:
- Messages sent from D2L to students via email will be undelivered between the dates of March 16th and March 19th. Faculty should not not use D2L to send emails during this time.
- Until the migration is complete, the Office 365 widget has been hidden in D2L. Students will need to use their new MinnState.edu credentials to connect with the widget after the migration.
How do I log in to MyBSU/MyNTC or computers on campus?
The new MinnState.edu Office365 login does not replace the login you use to access MyBSU or MyNTC, or to log in to computers on campus. You will still use your current method to access those. More info.

How do I log in to the new Office 365?
When you click the Office365 – Mail link in MyBSU/MyNTC you will be directed to the Office 365 login page. Use the following credentials. More info.
Students (BSU and NTC): firstname.lastname@example.org
password: your starID password

please note: This affects how your phone logs in to Office 365 too. You will need to adjust your credentials to continue getting messages in the mobile Outlook app. More info.
I have multiple campus emails, which one is my primary?
If you attend an institution that has already migrated to the MinnState.edu Office365 cloud, all of your email and OneDrive files will be available there. Your inbox will show a mix of messages from all of the institutions where you have an account. When you send an email message from Outlook, the message will originate from your “primary account.” If you’d like to change your primary account (the default FROM: email address), please visit https://servicedesk.minnstate.edu/ and submit a ticket to request the change.
Will my personal contact groups (contact lists) move to the new system?
What other changes will I see with this migration?
There are a few things that you will need to adjust or recreate on the other side of migration.
- Do you sync folders on your computer to OneDrive? After the migration, you will need to delete the current association and reestablish one to OneDrive in the MinnState.edu cloud. More info.
- Groups will be replaced with Teams. If you have a Group and have not been contacted by ITS about migrating your content to the new cloud, please let us know. More info.
